Manage time off
Requirements
- Available on: All plans
- Device access: Web & mobile browser
- Permission: Owner or Manager (to add and approve) · Any staff (to request their own)
Time off blocks a staff member from being booked for vacation, sick days, or personal time. Owners and managers can add time off directly; staff can request it from their own My Schedule page.
How to add time off
-
In the left menu, open Staff, find the person, and click Time off.
-
On the Time off tab, choose a Type — Vacation, Sick, Personal, Unpaid, or Other — and optionally add a Reason.
<!-- CAPTURE: route=/staff/[id]?tab=time-off | login=owner | state=Time off tab, form open | highlight=Type dropdown | viewport=1440x900 -->
-
Set the Start date and End date. Leave All day ticked for full days off, or untick it to set a start and end time for a partial day.
-
Click Add time off.
<!-- CAPTURE: route=/staff/[id]?tab=time-off | login=owner | state=Time off tab, list with an approved entry | highlight=Add time off button | viewport=1440x900 -->
Note: Time off you add as an owner or manager is approved immediately. From that moment, customers can't book that person during those times, and your team can't book, move, or reassign appointments onto them (in the calendar or the mobile app). A partial-day entry blocks only its start-to-end window, but any appointment that overlaps part of it is refused.
Note: If those dates are already blocked on the salon calendar for that staff member, you'll see "overlaps a block" and the request isn't created.
Approving staff requests
When a staff member requests time off from their My Schedule page (or the SalonHub360 app), it arrives as Pending, and everyone who can approve time off hears about it: a New time-off request from … item appears in the bell at the top of the screen, and the Staff item in the left menu shows how many requests are waiting.
Approve or decline from the Staff page
-
In the left menu, open Staff. While anything is waiting, a Time-off requests · N waiting card sits at the top of the page.
-
Each request shows the person, the dates (or the hours, for part of a day), the type, their reason, and when they asked. If they already have appointments booked in that time, you'll see how many — for example, 2 appointments are already booked in this time — and the button reads Approve anyway. Approving won't move or cancel those appointments, so rebook them first.
-
Click Approve to confirm it and block those dates, or Decline to turn it down. When you decline, you can add an optional note before you click Decline request — the person who asked will see it.
The request leaves the list as soon as you decide, and the person who asked gets a bell item telling them it was approved or declined (with your note, if you added one). If someone else on your team already handled it, you'll see that it was already handled.
Note: Approving doesn't move or cancel appointments already booked in that time. Move or reassign them first if you need to (see Change an appointment's provider).
Approve from a staff member's page
You can also review requests one person at a time: open Staff, find the person, and click Time off. On the Time off tab, on a pending entry, click Approve or Decline. You can also Cancel an entry to remove it. The status badge shows Pending, Approved, Declined, or Cancelled so everyone knows where a request stands.
Note: A Pending request doesn't block anything — that person can still be booked during those times until you click Approve.
Tip: In the SalonHub360 app, waiting requests show up on Today; tap the alert to open the Needs review list, where you can approve or decline them too.
Tip: Staff see and request their own time off from "My Schedule".
