Change an appointment's provider
Requirements
- Available on: All plans
- Device access: Web browser
- Permission: Owner or Manager
Someone called in sick, or a client asked for a different stylist? Hand the appointment to another team member. It stays the same appointment — same time, same services, same price — only the provider changes.
From the appointment
- Click the appointment on the Calendar, then click the pencil (Edit) button at the top of Appointment details.
- Under Provider, pick the new team member. If the appointment has services with more than one provider, there's one Provider field per person (marked "only these services") — change one at a time.
- Click Save changes.
By dragging on the calendar
- Open the Calendar in Day view (one column per team member).
- Drag the appointment straight across into the new provider's column, at the same start time.
- Click Change provider in the "Change provider?" box.
Only Confirmed appointments can be dragged. For a Requested or Checked in appointment, use the Provider field instead.
Note: One change per drag. Dragging up or down in the same column changes the time; dragging sideways at the same time changes the provider. If you drop it in another column and at another time, nothing changes and SalonHub360 tells you to do one or the other. Change the provider first, then drag it to the new time.
What gets checked
- The new provider must offer every service on the appointment and work at that location.
- They must be free at that time — no other booking, no calendar block, and no approved time off. If they aren't, nothing changes and a message tells you why.
- You can change the provider while the appointment is Requested, Confirmed, or Checked in. Once the service has started (or the visit is closed), it can't be reassigned.
- If someone else changed the appointment while you had it open, you'll see "Appointment changed — try again." Reopen it and make the change again.
Tip: On the web, the price doesn't change, even if the new provider normally charges a different rate. The client pays what they booked.
In the SalonHub360 mobile app, use Reassign on the appointment instead.
Who is told
- The client gets an email that their provider changed (when they have an email on file, your email notifications are on, and they haven't opted out), plus a notification in the SalonHub360 app if they use it. No email is sent once the client is checked in — they're already with you. No text message is sent.
- The previous provider and the new provider each get an email alert (when staff alerts are on). You don't get an alert for a change you made yourself.
