Block time & add time off

Requirements

  • Available on: All plans
  • Device access: Web & mobile browser
  • Permission: Owner or Manager

Stop bookings from landing when you're not available. Use a Personal Block for short interruptions like lunch or training, and Time Off for a staff member's vacation, sick day, or personal day.

How to add a personal block

  1. On the Calendar, click New Booking (or click the empty slot you want to block) to open the event drawer.

  2. Set Event type to Personal Block. The event drawer with Personal Block selected

    <!-- CAPTURE: route=/calendar | login=owner | state=event drawer, Personal Block selected | highlight=Event type selector | viewport=1440x900 -->
  3. Give the block a name (for example, "Staff lunch" or "Training"), then set the Start date and End date.

  4. Under Which staff, choose All staff to block every provider, or One staff member to block just that person while the rest of the team stays bookable. The personal block form with name, dates, and the Which staff options

    <!-- CAPTURE: route=/calendar | login=owner | state=personal block form filled | highlight=Which staff options | viewport=1440x900 -->
  5. If you have more than one location, Block at all locations is on by default, so the block applies everywhere. To block just one location, switch it off and choose the Location to block — the same staff stay bookable at your other locations. (With a single location there's nothing to choose, so these options are hidden.) Add a Reason if you like, then save.

Note: Blocks stop new bookings during that window — online booking, reschedules, bookings you or your team add from the calendar or the mobile app, and group bookings. If you try to book into a blocked time, SalonHub360 shows "That time is blocked on the calendar for this staff member at this location" and nothing is saved — pick another time, or edit or delete the block first. Walk-ins you start from the Lobby are not stopped, because the client is already in the chair. Recurring appointment series skip any blocked dates. Blocks don't move or cancel appointments that are already on the calendar.

How to add time off

  1. Open the event drawer and set Event type to Day Off / Time Off. The event drawer with Day Off / Time Off selected

    <!-- CAPTURE: route=/calendar | login=owner | state=event drawer, Time Off selected | highlight=Event type selector | viewport=1440x900 -->
  2. Pick the Staff member and a Type — Vacation, Sick, Personal, Unpaid, or Other.

  3. Set the Start date and End date. Leave All day on for full days off, or turn it off to set Start and End times for a partial day. The time off form with staff, type, dates, and the All day toggle

    <!-- CAPTURE: route=/calendar | login=owner | state=time off form filled | highlight=All day toggle | viewport=1440x900 -->
  4. Add a Reason if you'd like, then click Submit time off. That staff member becomes unavailable for booking — online and in-app — for the period. Once it's approved, new bookings, reschedules, and provider changes onto that person during their time off are refused with "That staff member has approved time off then. Please pick another time or staff member." Walk-ins you check in when they arrive are the exception, since the service is already happening.

Note: Appointments already on the calendar aren't moved for you. If one lands on approved time off, you can still edit its notes, and once the client is checked in the visit can be edited normally — though handing it to a different provider is still checked against that provider's blocks and time off. Before that, other changes to it are refused until you move it — drag or reschedule it to another time, or switch the provider: on the web, drag it sideways into another provider's column at the same time, or use Provider when you edit it; in the mobile app, use Reassign. See Change an appointment's provider. An appointment that's still Requested (not yet confirmed) has to be confirmed before it can be moved.

Tip: Staff can also view and manage their own time off from My Schedule. See Manage time off.

Note: You can't add time off for a day that's already blocked for that staff member at every location they work (for example, a salon-wide block). A block at only one of several locations doesn't stop a time-off request. If you see "overlaps a block on the salon calendar", the days are already unbookable — no request is needed.
